COLOR SESSION 2008

RULE

Application

When you apply to exhibit COLOR SESSION 2008, please confirm this exhibition rule and send an application form filled with the necessary data to the secretariat office. In the case that the contents of the applicant are unsuitable to the purpose of this exhibition, we sometimes refuse the participation.

Application Deadline

January 31(Thursday), 2008
Please note that we close as soon as the booth space is filled.

Participation Fee (Booth Fee)

Exhibition booth space should be calculated with basis of a unit of 9 m² (Width 3m x Depth 3m).
1-2 Units ¥378,000 (¥360,000 without tax) x unit number
3-5 Units ¥357,000 (¥340,000 without tax) x unit number
6-9 Units ¥336,000 (¥320,000 without tax) x unit number
10 Units or more ¥315,000 (¥300,000 without tax) x unit number
This is the booth raw space only. The expenses of the construction/ decorations of the booth should be shouldered by the exhibitor.
The electric wiring and the electricity expense will be charged for the exhibitor.
Please complete decorations inside permitted booth space. Regarding the rules for height, we inform about the detailed regulation separately.

Payment

Please make a payment according to the bill statement which the bureau sends for your exhibition fee after the application fixed.
Please pay 50% of the total amount at the fixed application, and the remained balance by the application deadline (January 31, 2008) to the bank account of the secretariat office.

Cancellation after Application

Exhibitors who wish to cancel partially or all of the application after it has been filed are not accepted basically. In the case of being accepted by the bureau, they are requested to pay the following cancellation charge in any circumstances.
Until January 31, 2008 50% of total space cost
After February 1, 2008 100% of total space cost

Services including in Fee

In the exhibition fee, it includes utility rate of the preparation, the display, and use of the booth, and also the illumination/ air-conditioning expenses, the guard expenses, and the use of the common space in the venue.
The booth decoration expense, move-in-and-out expense/ the running expense, the equipment construction expenses/ the electricity expense, the special communication lines installation/ the communication expenses, the insurance charge for the equipments/ facilities/ personal damage, removal expenses for the left matters in the booth, and other expenses which are not considered within the exhibition fee will be charged additionally.

Comfirmation of Booth Location

It fixes arrangement of the booth location according to the application and it notifies about the final allocation at the exhibitors orientation.

Ban of Transfer/ Exchange/ Subletting/ Sale of Booth Space

It shall be prohibited partial or whole space of the exhibition booth to be transferred, exchanged, sublet or sold to the other party.

Move-in-and-out/ Dismantle

Regarding the period of the move-in to the exhibition hall and the set-up construction, we notify with the exhibitor manual. Move-in-and-out or transfer is not allowed during the exhibition period without permission from the secretariat office. During the exhibition, the cleaning of the booth and displayed products is responsible for the exhibitors.
Anything left after the date of removal will be removed by the secretariat office, but the cost and risk will be born by the exhibitor.

Guard and Compensation

During the whole exhibition period as well as move-in-and-out, security guards will be contracted with the secretariat office for security control in the exhibition hall. However, it doesn’t bear responsibility about damage/ missing/ property loss of products in the booth.
When the exhibitors (including agents) cause damage to the other exhibitors, the whole utilities, the venue facilities, and the human body, the compensation shall be borne by that exhibitor.

Insurance

It is recommended to carry insurance on the exhibits and personal damage to be necessary for compensation during the whole exhibition period, including move-in and move-out.
The secretariat office also assists to find an appropriate insurance.

Cancellation/ Postponement

When the opening of the exhibition is considered as impossible or difficult, due to the natural disaster or an inevitable accident, the cancellation or the postponement of the exhibition is determined by the secretariat office. In case of cancellation, the participation fee will be returned to the exhibitor after necessary expenses being deducted.
Therefore, the secretariat office doesn’t bear responsibility to the other expenses and the damage occurred.
In some cases, the secretariat office may determine the cancellation or the postponement of the exhibition when there is a certain reason why the exhibition will not be considered beneficial enough for the whole exhibitors. The full amount of the exhibitors paid by that time will be refunded in such a case. Therefore, the secretariat office doesn’t bear responsibility to the other expenses and the damage occurred.

Management and Indemnity

The secretariat office establishes various rules and their correction, in order to manage administration of the exhibition smoothly. It is also possible for the secretariat office to establish additional rules and change those rules in regards to the matters without mentioned in the exhibition rule, if necessary.
When the exhibitor violates the exhibition rule, display rule, and other regulations on the exhibitor manual, we may refuse participation of that exhibitor. Please understand the fee already paid by that exhibitor can not be refunded as the penalty in this case.

Approval of Exhibition Rules

All of the exhibitors (including agents) shall have approved this rules of the exhibition.

Preparation

Decoration

The decoration of the booth will be prepared by the exhibitor.
The stand-fitting companies will be introduced by the bureau upon receipt request. Please prepare the decorations and locate the products inside each booth. The materials which are used for the decorations should be flame-proofed and fire-resistant prescribed in Fire Defense Law, and their specific performance should be displayed.
Do not cover the roof-ceiling of the booth.
It is possible to use anchor bolts on the concrete floor in the hall. Please bring in the special form for the use of anchor bolts to the secretariat office.
The wall on the aisle side could give an oppressive feeling to the facing booth. When the wall is to be set up on the aisle side facing the other booth, it should be open more than 50%.
When the booth is located side-by-side the other booth, please prepare a partition mutually. In this case, the partition should be 2.7 m high.
There is not the height limit of the displayed product.
Furniture such as tables and chairs for the booth are available for the lease.

Demonstration

When the exhibitors plan to use the bringing-in dangerous items and the naked flame for demonstration, or the use of the heating element, the secretariat office will apply to obtain permission from the Fire Department. We inform about the details of the danger separately with the exhibitor manual.

Management

Show Management Office

Show management office will be open in the venue during move-in-to-out period. It will be responsible for the general administrating of the exhibition, the presentation, the guide, and so on.

Registration

The registration counter will be set up at the entrance of exhibition hall.

Guard

During the whole exhibition period as well as move-in-and-out, security guards will be put in position for security control.
Please follow the instruction of the guard to go-in-and-out the venue and to operate a vehicle.

Noise Control

If you will use a microphone with the audio-video equipment for your demonstration or noisy products/ equipments in the booth, please take the special care to the sound level so as not to disturb other exhibitors.
In the case of inconvenience on other exhibitors during the exhibition, we may request a volume control.

Others

It is not allowed for the exhibitors to sell presenting products on spot or similar business in the hall. Only distribution of catalogs/ pamphlets/ samples and demonstration activities are allowed in the own booth.

Secondary wiring will be charged separately.
Electricity Expenses
With the calculation basis of ¥2,000 (tax included) /kw, it will be charged for the exhibitor through the period (during the preparation period and the session).
Communication Lines
Analog phone, the ADSL line can be installed.
Anchor Bolt
It is possible to use for the floor. It requires ¥1,500 (tax included) per piece as for the repair charge.
